Group DMS ("we", "us") provides managed IT, cloud and security services to businesses. This policy explains what personal information we collect through groupdms.com, why, who receives it, how long we keep it, and your rights under Quebec's Act respecting the protection of personal information in the private sector (as amended by Law 25).
1. Person in charge of the protection of personal information

2. What we collect and why

We only collect what we need for these purposes. We do not sell personal information, and we do not use it to make automated decisions about you.
3. Cookies
Analytics cookies, the Google map and YouTube videos stay off until you click Accept. You can also show a single map or video without accepting the rest. You can change your choice at any time with the Cookie settings link at the bottom of every page.

4. Who receives your information
Within Group DMS, only the staff who need it to answer you have access. We use these service providers, who act on our behalf under contract or under their published terms:
- A2 Hosting (United States) – hosts the website, its database and server logs.
- Microsoft 365 (Microsoft) – our email; contact-form notifications are delivered to info@groupdms.com.
- Perpetual Solution (Montréal, Quebec) – builds and maintains the website and may access its data for that purpose only.
- Google (United States) – Google Analytics, Google Maps and YouTube (only with your consent, see section 3), and the web fonts used by the site (loaded from Google's servers, which receive your IP address).
The Support (ScreenConnect) and Client Portal (ConnectWise) links in the menu lead to third-party services with their own privacy policies.
We may also disclose information when the law requires it.
5. Information stored outside Quebec
Some of these providers store information outside Quebec, mainly in the United States. Before doing so, we assess whether the information will be adequately protected, taking into account its sensitivity, the purpose, the safeguards in place and the applicable law, and we use providers bound by confidentiality and security obligations.
6. How long we keep it
- Contact-form requests: 3 years after our last contact with you, then deleted.
- Google Analytics statistics: 14 months.
- Server logs: about one month.
- Your cookie choice: 12 months, after which we ask again.
7. Security
The site is served only over HTTPS. Access to the administration area is restricted to authorized staff with individual passwords, and we limit access to personal information to the people who need it. No method is perfectly secure, but we take reasonable measures suited to the sensitivity of the information.
8. Your rights
You may ask to access the personal information we hold about you, have it corrected, withdraw your consent, have it deleted when we no longer need it, ask that it be de-indexed, or receive it in a structured, commonly used technological format. Send your request to the person in charge (section 1). We answer within 30 days. We may ask you to confirm your identity.
If you are not satisfied with our answer, you may file a complaint with the Commission d'accès à l'information du Québec.
9. Confidentiality incidents
If a confidentiality incident involving your personal information presents a risk of serious injury, we will notify you and the Commission d'accès à l'information, as the law requires. We keep a register of all incidents.
10. Changes to this policy
We may update this policy. The date at the top shows the latest version. Significant changes will be shown on this page.
